Business Record Data may also include records of customer interactions, such as chat transcripts, emails, and service requests, which are retained to assist with troubleshooting and issue resolution. For customers who engage with our support team via chat services, transcripts may be stored for quality assurance and service improvement. Additionally, this data is used to analyze and refine internal processes, maintain compliance records, and support business continuity efforts.

This includes usernames, business email addresses and phone numbers, business addresses, credentials, login details, billing information, log data, metadata from customer communications, engagement tracking, and usage data such as IP addresses, log files, unique device identifiers, pages visited, browser type, navigation behavior and tracking Data collected by Cookies.

Software Partners. We integrate with various third-party tools and platforms, such as payroll providers, accounting software, and other back-office service vendors. In some cases, we may participate in referral programs with these partners and receive incentives for connecting customers with their services. If a customer consents to an integration, we may share business contact details of authorized Users and relevant service usage information. These Software Partners operate under their own privacy policies.
Professional Advisors. We may share personal data with legal, financial, and business advisors, including lawyers, accountants, auditors, brokers, and insurers. Professional advisors are bound by professional or contractual confidentiality obligations.

How Long We Retain Your Information
Prospective Customers
We retain business contact information and records of sales and marketing activities to maintain a history of our interactions with prospective customers. This helps us analyze and improve our sales and marketing efforts, develop new services based on customer feedback, comply with legal obligations, resolve disputes, enforce agreements, complete transactions, and prevent fraud.
Generally, we retain this information until either you request its deletion or we determine that it is no longer needed for the purpose of marketing and selling our services to your organization. We may retain your business email address indefinitely to keep a record of email marketing opt-out requests or deletion requests.
If you have not personally identified yourself on our Website, the primary marketing tools we use to track Website and email activity automatically delete records of your visits and email engagement between 90 and 365 days after your last interaction, in accordance with their retention policies. For internet activity information collected by third-party service providers, data retention is determined by their policies.
Customers
We retain Customer Data for varying periods depending on the type of information, legal requirements, and business needs. For tax-related data, we retain records for at least seven years from the due date of the relevant tax filing (including extensions), in compliance with regulatory requirements.
We retain some Customer Data to assist former customers with Service-related inquiries that occur after termination of the Services. Other Customer Data is retained by us to comply with legal obligations, resolve disputes, enforce agreements, complete outstanding transactions, detect and prevent fraud, and improve existing Services. Certain de-identified Customer Data may be retained to analyze Service performance, enhance product offerings, and optimize platform functionality.
In general, Customer Data is retained until we receive a deletion request. If you submit a request, we will take reasonable steps to remove or de-identify the data in our systems, except where retention is required or permitted by law or where the data is contained within Business Records Data. Certain Customer Data, including billing records and customer relationship details, may be retained indefinitely for legal compliance, financial auditing, and operational recordkeeping.
For former customers, user credentials are scheduled for deletion 120 days after the customer relationship ends. Unless otherwise required by applicable law, we retain backups of QuickBooks Online account data for seven years after the customer relationship ends. Any Customer Data incorporated into automated reconciliation rules or analytical models is retained indefinitely, but only in a manner that does not identify individual customers and remains compliant with applicable laws.
For customers who qualify, we may assist with compliance filings, which will require our collection of personal data regarding certain individuals associated with the business. This information includes name, address, date of birth, and government-issued identification details (including identification number). The business contact details of the requestor may be used for marketing purposes, as described in the section for prospective customers, and retained as administrative data. We only use the personal information required to complete the filing, and this data is generally retained for one year, after which it is deleted per our data retention policies. We may retain copies of this information for longer periods if they are retained in email or file storage systems as a record of the service provided, in accordance with our email retention policy, or if legal obligations require extended retention. All data is stored securely within systems managed by our service providers.
Business Record Data
We retain Business Record Data to document customer instructions, approvals, and our business relationships. This data is used to comply with legal obligations, resolve disputes, enforce agreements, complete transactions, and detect or prevent fraud.
We retain Business Record Data for as long as there is a legal or business reason, typically extending through the longest applicable statute of limitations. However, we may delete this data earlier if we determine it is no longer necessary for these purposes.
If Customer Data is included in Business Record Data, such as in emails, messages, call recordings, or other records, we process it for legal, compliance, and recordkeeping purposes in the context of our customer relationships.
For Service Providers and other third-party providers, retention policies are governed by their respective privacy policies and data governance practices.
Call Recordings
We may record calls and video conferences related to sales discussions and the delivery of our Services. These recordings may include identifiable details such as participant names, audio content, and, if video is enabled, visual information. We will record with your consent when required by law. We use these recordings for training and internal development to enhance service quality, process analysis and optimization to refine workflows, Services and recordkeeping as part of our business records, and research and development to improve customer interactions.
Access to these recordings is restricted to authorized personnel who need them for business purposes, and they are securely stored in our systems, including those of our third-party vendors who assist in data storage and analysis.
Recordings are retained for at least three years, unless you request deletion (subject to legal limitations) or we determine that the data is no longer necessary for the business purposes for which it was collected.
